Refund & Cancellation Policy
Our Commitment: You Never Pay It All Upfront
Because Ocybuild structures engagements with a milestone deposit first and the remainder due strictly upon delivery and your satisfaction, you are protected against paying for incomplete work. We maintain a clear, fair cancellation protocol for every project.
1. The Free Initial Consultation
Your first consultation with Ocybuild Studios is always 100% free of charge and carries zero obligation. We evaluate your operational challenges, brand vision, or website goals. If we determine that you do not require our services or can solve the issue with simpler in-house tools, we will tell you straight away.
2. Cancellation Prior to Project Kickoff
If you decide to cancel a project after paying your initial commitment deposit but before the scheduled project kickoff or discovery audit has commenced (within 48 hours of payment), you are entitled to a 100% full refund of your deposit, minus only direct third-party payment gateway transaction fees.
3. Cancellation During Active Production
Due to the bespoke, creative, and intellectual nature of strategic consulting, branding design, and custom software code, work performed after formal project kickoff consumes dedicated studio labor:
- Phase 1 (Discovery & Strategy): If cancellation occurs during initial brand research, moodboarding, or process auditing, 50% of the initial deposit is refundable to cover committed labor hours.
- Phase 2 (Design Concepts & Drafts Delivered): Once initial design prototypes, identity concepts, or website mockups have been delivered for client review, the commitment deposit is non-refundable. You will not be billed for any remaining delivery balance, and you retain ownership of all draft materials presented to date.
4. Revisions & Quality Guarantee
We do not leave projects half-finished or ask you to settle for unsatisfactory work. Every project package includes dedicated revision cycles (2 to 3 iterative review rounds) within scope to adjust colors, typography, layout, copywriting, and features until the solution meets your standards.
5. Delivery Balance & Final Sign-Off
The remaining project balance (typically 50%) is due only after you have reviewed and signed off on the completed project. Upon receipt of the final balance, full production asset packages (high-resolution print files, vector source files, production codebases, and domain DNS handoffs) are transferred permanently to your ownership. Once final deliverables have been approved and handed off, milestone fees are non-refundable.
6. Refund Processing Timeline
Approved refunds are processed promptly within 5 to 7 business days via the original payment method (Bank Transfer, Mobile Money, or Card via payment gateway). You will receive formal written receipt confirmation as soon as the transfer is executed.
